Rules and Regulations

Registration

Filling out the application does not guarantee you a booth space at Norsk Høstfest. Upon approval you will be sent an emailed acceptance letter and invoice, through Square, to the email provided on the application.

Payment

No exhibitor will be allocated booth space or allowed to move in until full payment has been made.

All fees are NON-REFUNDABLE.

Set Up Days/Hours

Set up days are Monday and Tuesday September 23rd & 24th 2024 from 8am-8pm. NO vehicles of any kind are allowed to drive into any building of the State Fair Center during set-up or tear down. Booth decorations are highly encouraged, please keep decorations within your purchased space.

Hours of Operation

Festival hours are Wednesday – Saturday September 25-28, 2024. 9am-7pm for vendor/exhibitor halls. Food vendors in Reykjavik can choose to remain open until 11pm.

Booth Placement

The assigned vendor booth space is subject to change at the discretion of Norsk Høstfest Management and in the best interest of the festival.

Tear Down Hours

No vendor will tear down any part of their booth until 7pm closing time Saturday night. All buildings will close at 11pm and will re-open on Sunday at 8am. Vendors are asked to be completely moved out by Sunday the 29th by noon. Sunday times are subject to change based on the re-rental of buildings from the State Fair Management.

Parking

Each vendor will be given ONE parking pass. Parking outside is not allowed along any part of the State Fair Center, other than approved food trailers. Vendor parking is limited and not guaranteed. If all vendor parking spaces are full you will be asked to park in the East parking lot. Shuttles are available for rides to the main door of the festival.

Vendor Packet/Vendor Admission Passes

Your vendor packet will be available to be picked up on setup days. Vendor check-in is in the main lobby of the State Fair Center. You will not receive any vendor material through the mail. Each vendor will receive TWO vendor admission passes. Additional vendor admission passes are available to purchase for $20 each for the 4-day pass.  All participants must have a pass to enter the festival, with no exceptions.

Sales Tax

Vendors/exhibitors are responsible for collection of North Dakota State Sales Tax of 5% & Ward County sales tax of ½% (no city tax) on all sales made during Norsk Høstfest. You are responsible for collection and mailing of the sales tax to the ND State Tax Commissioner and Ward County. RV Camping for Vendors

Camping is available for vendors at a discounted price of $150 for up to a 8 night’s stay starting September 21st. This includes 20-30 AMP power. All RVs are to be off the State Fair grounds by September 29th. Vendors will park in the West lot with showers and bathrooms available at no charge. There is an RV dump station located by the bathrooms. Water can be ordered through A1 Evans Septic, information and pricing on water will be available at the RV check-in upon arrival. Refer to the vendor application for reserving a camping spot. Camping fees are non-refundable.

Wi-Fi

SRT Communications provides private and secure phone and internet services for Norsk Høstfest vendors. Prices of each service and additional information can be obtained by calling SRT 701.852.8888.

Fire & Safety

All rules and regulations relative to public buildings are prescribed by the City of Minot Fire Department and must be adhered to. Open deep frying inside the State Fair Center is prohibited unless the fryer is under a portable hood and suppression system. All outside deep frying in food trucks/trailers must be under a hood and have a K fire extinguisher on site.

Liability

Neither the Norsk Høstfest, Board Members and employees, EPIC Events and employees, the ND State Fair Center, the State of ND, nor their representatives, employees or agents, shall be responsible for any injury, loss or damage that may occur to the Exhibitor or Exhibitors employees or property from any cause whatsoever, including but not limited to claims based in contract, negligence, strict liability, or other sort. In no event shall the above-mentioned be liable for any incidental or consequential damages. The Exhibitor further acknowledges that he is the seller of any food or beverage sold upon the concession premises and that the relationship between the exhibitor and Norsk Høstfest shall be that of independent contractors and nothing in this Agreement shall be construed as establishing a partnership, joint venture, or employer-employee relationship between Norsk Høstfest and the Exhibitor. Norsk Høstfest grants to the Exhibitor, and the Exhibitor accepts from Norsk Høstfest, the nonexclusive privilege of maintaining commerce and transactions in the North Dakota State Fair Center at the North Dakota State Fairgrounds.

Amendments

These rules, regulations and conditions were drawn up to provide a well-balanced, regulated, successful festival. The management shall have full power to interpret the rules and regulations or make such and all amendments to the foregoing rules, regulations and conditions which shall bind the exhibitors
